Job Summary:

The Facilities Manager develops and participates in the implementation of organizational strategic plans, as well as in establishing and maintaining performance measurements. He monitors financial and operational performance in accordance with established parameters. Directs, organizes, and arranges administrative support functions for the company. His understanding of the structure and business of the organization will effectively manage the firm’s knowledge processes and capital resources, in terms of space and equipment.

The Facilities Manager leads and develops individuals and teams by using people management processes and tools that involve staffing, training, supervising, coaching, and performance management to achieve optimal performance.

He partners with other groups within the organization, cultivating those relationships, aligning people and processes, and identifying workplace efficiencies to add value.

Role and Responsibilities

This job exists to have better supervision between multiple FM teams on ground and scheduled PPM. The FM manager is expected to manage and supervise local SOPs for facilities management through FM processes in place and create necessary ones and to manage documentation and activities related to all aramex facilities within country, including but not limited to :

Develops and promulgates policies pertaining to construction, operation, and maintenance of organization facilities, material handling, safety and other assigned functions.

Plan, budget and schedule facility modifications/upgrade projects, including estimates on equipment, labor, materials and other related cost through RFP/Scope of work process that include bids evaluation, technical/engineering assessment, bids normalization and selection criteria.

Establishes contact with, and directs efforts of, architects, engineers, contractors, and consultants engaged in Aramex projects.

Represents the Organization at various hearings and meetings pertaining to its facilities, property, and other related issues.

Supervises subordinate personnel including hiring, determining workload and delegating assignments, training, monitoring and evaluating performance, and initiating corrective or disciplinary actions.

Develops, evaluates, or reviews plans and criteria for a variety of projects and activities; assesses feasibility of proposals.

Participates in the planning, designing, construction and maintenance of facilities.

Obtains and documents quotes/bids. Evaluates proposals for specification compliance and makes recommendation of award.

Reviews and/or inspects work for quality, accuracy, and completeness.

Coordinates between stations or work units and other stations, work units, organizations, suppliers, etc.

Ensures compliance with applicable governmental and/or state laws, regulations, and/or company rules, standards and guidelines, etc.

Maintains inventory control, staff by recruiting, selecting, orienting, and training employees.

Prepares reports by collecting, analyzing, and summarizing information.

Contributes to team effort by accomplishing related results as needed.

Manage all on-site facilities contractors to ensure smooth execution of project work and ensure compliance to standards.

Be an active participant in all management and working groups as required.

Receive training and use the knowledge for the benefit of the Company and for personal development.

Track and Supervise PPM schedule.

Maintain and manage physical asset and storage site inventory.

Coordinate and monitor vendor’s performance through performing building related services.

Assist in Project Management.

Assist direct line Manager to develop and evaluate plans for facilities.

Inspect entire buildings to identify general corrective maintenance as necessary for proper maintenance and operation of various equipment, fixtures, etc.

Report deficiencies and recommend areas for improvement to management.

Supervise preventive maintenance with Third Party FM team.

Supervise AMC contractors.

Update and maintain records to track maintenance and repairs

Notify any facilities emergencies if any.

Ensure to maintain and continuous operation of mechanical systems like HVAC systems, water boiler, Solar Systems, generators, electrical switch gear and UPS system.

Follow up on incidents’ reporting

Help assist in RM and CM facilities.
